Job Brief
The Sales Administrator is responsible for the efficient flow of the Vermont Systems sales operations. This includes the processing of successful sales efforts (orders), to include the finalizing of quotes, coordinate the processing of contracts & routing of subsequent tasks, and related communication between departments. It also includes management and oversight of the primary sales tools, including Microsoft Dynamics 365. Additionally, the Sales Administrator will assure consistent processes are in place and executed by all sales personnel. This position is part of the Sales Team and reports to the Director of Sales.
Primary Responsibilities
Maintain Dynamics 365 CRM products ongoing to include hardware and software as needed based on Sales, Product Development, Quality Assurance, and Administrative/Accounting collaboration.
Work closely with Dynamics 365 CRM Administrator to promote system processes.
Provide timely team communication using internal on-line communication tool (Microsoft Teams) to ensure the Sales group stays informed.
Maintain and execute processes as needed for entire Sales Team.
Engage with Marketing Qualified Leads (MQLs) to qualify for sales-readiness, set appointments, and hand off to Sales team for discovery call.
Work with Sales Team to schedule online and onsite product demonstrations.
Coordinate and review Sales Agreements and Contracts and prepare them for transition over to Project Team.
Obtain a working knowledge of parks and recreation operations and the key decision makers needed for sales interactions.
Stay current with Vermont Systems messaging and solution value propositions.
Assist Sales Team as time allows, with the response to incoming phone calls, emails, cases, and website requests for the Sales Team.
Assist Sales Team as time allows, with the creation of quotes in response to customer requests and requirements.
Manage the processing of hardware purchase orders and the routing of order to finance/purchasing.
Assure routing of development services for timely completion.
Communicate effectively with other internal VS teams including VS Finance/Accounting & VS Support Services teams. Qualifications
Required
Requires a high school diploma or equivalent and at least 5 years of experience in the field or related area. Degree preferred.
A self-starter with the ability to work well in a cross-functional and fast-paced environment.
Strong attention to detail with the ability to manage many tasks simultaneously.
Excellent written, verbal and presentation skills.
Comfort speaking and interacting with current and prospective customers.
Excellent time management skills.
Proven sales administration or other relevant experience. Preferred
Experience in delivering focused solutions based upon customer needs.
Experience in Microsoft Office suite & Dynamics 365 CRM software. Soft Skills

Full Time Salaried position.
Hours are primarily 8a 5pm, Monday Friday with infrequent off-hour rotation in support of VS on-call staff (evenings, weekends/holidays).
