Prog Assist V Student AffairsUniversity of San FranciscoRUSF Hilltop CampusJob Title:Prog Assist V Student AffairsJob Summary:The Student Affairs Program Assistant reports to and supports the Assistant Dean for Student Affairs. The Office of Student Affairs provides mission-based, student-focused programs, events and activities, student surveys for assessment, student advising, and administration of certain scholarship and grant programs. The Program Assistant supports these functions of the Office, manages communications to students, and serves as a point of contact for student groups at the School of Law. The position also provides reception and general administrative support in the Deans’ Office, and it requires a focus on customer service, efficiency, and excellence.Full Job Description:Administrative SupportProvide administrative support to the Assistant Dean for Student Affairs, including but not limited to scheduling appointments, copying, maintaining files, and updating and proofreading documents.Student Affairs Program SupportResponsible for coordination of and communication about student servicesServe as the primary contact for student organizations at the law school. Tasks include: maintain the student organization contact list, update and prepare the student organization manual for orientation, ensure compliance with all School of Law and University policies, coordinate the student organization training sessions, monitor student organization bulletin boards, manage booking space and ordering catering, and respond to general inquiries.Provide Program Administrative Support, including but not limited to scheduling, marketing, and website updates for the following initiatives:Pro BonoPublic Interest and Social JusticeDiversity Health and Wellness Writing CompetitionsProvide administrative and logistical support for the Continuing Advising Program (CAP) and its programs and eventsProvide administrative support for the McAuliffe Honor Society, including assisting with fall and spring receptions and additional programs, as needed Provide administrative support for scholarships and grant programs administered by the Assistant Dean for Student AffairsFacilitate student services surveys or projects, including but not limited to:Law School Survey of Student Engagement (LSSSE)Student/Alumni mentor programsEvent SupportServe as the main administrative coordinator for the Office of Student Affairs events and work independently to oversee event logistics (including event planning, social media, event promotion, room set-up/clean-up, catering, AV, and IT) and coordinate with departments and offices on main campus and at the law school as needed.Provide assistance to the Assistant Dean of Student Services for large-scale events and programs, including new student Orientation, the Public Interest Law Foundation fundraising events, and Commencement.Provide support, such as managing vendor contracts, for large annual SBA events and programs.Deans’ Office SupportResponsible for weekly events and announcements emails to students, faculty, and staffOversee law school’s master events calendar including review and confirmation of all Student Bar Association student organization postingsResponsible for handling School of Law website edits and updates for current student web pages Maintain a welcoming environment in the Deans’ Office and summarize key functions of the office for newly-admitted student toursWork as a team with other assistants in the office, including but not limited to covering the phone and reception area and completing various tasks when necessaryMinimum RequirementsPost high school education strongly preferredFive years of increasingly responsible experience in senior administrative support workExperience with or the ability to work effectively with a diverse student body, faculty and staffExperience planning eventsExperience producing high quality, grammatically correct, and error-free writing and have advanced proofreading skillsCapacity to produce technically complex documents including surveys, charts, flyers and graphicsAbility to attend certain planned events that occur outside of regular business hoursProficiency in Microsoft Office Suite applicationsAdditional Knowledge, Skills and AbilitiesProven customer service skills, including the ability to help resolve conflicts.Excellent attention to detailAbility to effectively organize and manage workloadAbility to work independently and autonomously to complete recurring responsibilitiesKnowledge of general office procedures, standards, and equipmentAbility to lift 20 poundsAdditional duties as assignedFull-Time/Part-Time:Full timePay Rate:HourlyTo apply, visit University of San Francisco is located in the heart of one of the world’s most innovative and diverse cities, and is home to a vibrant academic community of students and faculty who achieve excellence in their fields.
