Associate Dean for Administration and FinanceReporting directly to the Dean, the Associate Dean of Administration and Finance carries out the day-to-day execution of the Dean’s financial and administrative agenda. The Associate Dean of Administration and Finance is the chief operating officer of the School of Arts and Sciences, is responsible for financial planning in the school and its constituent departments, and is directly involved in nearly all significant administrative and operational matters for the School of Arts and Sciences.ResponsibilitiesStrategic Planning ProcessWork with the dean and associate deans to update the school’s three-year Strategic Plan.Financial Planning ProcessWork closely with the Dean to develop a multi-year operating and capital plan.Work with the Academic Budget Office to create an annual Fiscal Year Budget within the parameters of the University’s internal financial model. Associate Dean for Faculty to monitor and manage faculty teaching loads, course reductions, and course enrollments.Fiscal Controllership ProcessExecute stewardship of school expenses, assets, and liabilities.BudgetingFacilitate the process of planning, developing, assessing, and compiling the school’s annual operating and capital budgets across multiple funds and accounts including designated and endowment funds.Establish and maintain appropriate budgetary controls. Develop budget-to-actual reports for all funds and present on a routine and ad hoc basis. Update and maintain salary spreadsheets for both faculty and staff. Track the expenditures of lecturer, graduate student, and faculty contracts. Work with the dean and associate deans to ensure academic needs are met within budget restrictions.Serve as the primary academic contact and subject matter expert for the dean, associate deans, staff and department chairs.Personnel Management ProcessWorking with dean, associate deans, dean’s office staff, and department chairs, supervise the recruiting, hiring, and performance reviews of faculty and staff as required by the University. Ensure timely appointments, reappointments, promotions, and tenure awards of all full-time and part-time faculty. Work to insure transparency of budget processes as well as accurate timely budget information to all relevant staff and units. Work with department chairs to help manage administrative assistants and resolve staff issues that rise to the level of the dean’s office.Facilities Management ProcessIn partnership with the University, maintain school property and equipment. Develop the school’s annual and multi-year capital budget.Procurement ProcessSupervise preparation and processing of requisitions, purchase orders, and credit cards for the school and departments. Approve all purchases through SunTrust.Event Planning ProcessAssist the Executive Project Coordinator in event planning for the dean’s office.QualificationsBachelor’s Degree (Master’s degree preferably) At least five (5) years relevant experience in a university setting or equivalent, including three (3) or more years of managerial experience.Microsoft Office (Access, Excel, Outlook, PowerPoint, Word) and Adobe Acrobat required; PeopleSoft preferred. Strong knowledge of Excel and Google spreadsheets.Understanding of GAAP strongly preferred. Understanding of the acceptance and management of philanthropic gifts strongly preferred.
