Southeast CDC is seeking a Director of Finance and Administration with excellent interpersonal and organizational skills to support our dynamic team. This position plays an integral role on the Southeast CDC leadership team.Southeast CDC is a 45-year-old community development organization that implements neighborhood and commercial revitalization projects, provides housing counseling and eviction prevention services and partners with community schools to support student and family success, in the Southeast region of Baltimore City.We are dedicated to growing and supporting a thriving, socioeconomically and racially diverse Southeast Baltimore where residents share in the success and improvement of their communities.SUMMARYThe Director of Finance and Administration is responsible for the finance, business operations and administration either independently or in conjunction with the Executive Director.JOB DUTIESAccountingHandle all of the organizations accounting, including:Maintaining financial records and filesAccounts payable and accounts receivableBank and credit card reconciliationBenefitsPayrollJournal entriesProviding monthly financial statements, including budget variance and cash flow reports and presenting to the Finance Committee and BoardProviding financial statements and income/expense detail to individual programs as neededProviding input and assist with the annual budgeting process and budget monitoringPreparing the organization for its annual auditManage cash flow, including loans and lines of credit and report on usage to the Finance Committee.PersonnelLead management of personnel, including payroll and benefits administrationProvide orientations to new staff and ongoing support to all team members regarding HR and office management issuesEnsure efficient personnel scheduling, including tracking and monitoring hours worked, vacation/leave taken, and any outstanding attendance issuesMaintain complete personnel filesProvide input to Executive Director and assist with management level issuesMaintain and update employee manual as necessary.Ensure performance reviews are scheduled and completed.Manage enrollments and policies for employee benefits including health insurance, short-term disability insurance, and 401(k) planEnsure compliance and timely filing of all 401(k) plan requirementsGrants management and financial reportingDevelop and maintain a grants management filing system complete with contracts and schedules of reports dueMeet regularly with staff teams to review budgets-to-actual numbers ahead of quarterly reporting deadlines; schedule proactively before reports are dueComplete or review all financial reports for grants via paper and online reporting systems and provide all required documentationEnsure compliance with federal, state, and local grant requirementsOperations/LegalWith the Executive Director, prepare for monthly Board of Directors meetingsParticipate in the management team, all staff meetings and other Southeast CDC events, as required.Maintain and update all Board member filesManage technology and facility needs and contracts, including IT, janitorial, snow removal, or other maintenance vendorsAssist with a range of transactions including property sales and leasesManage rent and other related payments from tenantsSupport fundraising efforts and identify and solve gaps in the organizational budgetEnsure that all governmental reports for payroll, information tax return, census, etc. are filed on a timely basisEnsure that all required annual licenses and permits are filedWork with broker to ensure all organizational insurances needed are in forceMaintain vendor relations files and review contractsFacilitate resolutions to any legal issuesEducation, Knowledge, Skills and ExperienceMinimum Bachelors degree from an accredited college; accounting/finance focus10 years of experience in nonprofit accounting and financial managementExperience working with government grants preferredExcellent computer and related software proficiency; MS Office (Excel, Word), QuickBooks, payroll processingExcellent interpersonal, organizational and verbal/written communication skills; ability to communicate and empathize with individuals of diverse backgroundsAbility to maintain confidentiality, manage multiple priorities, and project a professional image to external contactsBe self-directed, anticipating opportunities and challenges before they arise and proactively tackling those issues with minimal supervision; exercise considerable initiative, discretion and judgment in executing the functions of the jobSoutheast CDC staff are still mostly working remotely. The Director of Finance and Administration comes to the office one day a week to manage checks, collect bills and handle other administrative duties. Southeast CDC will provide a laptop and printer to facilitate work at home.
