Description/Job SummaryTITLE: Administrative AssistantDEPARTMENT: Supply ChainLOCATION: Glenview, ILSUMMARYThe Administrator will provide primary administrative and functional support duties for the Supply Chain leadership team. Reasonable Accommodations may be made to enable qualified individuals with disabilities to perform the essential functions.Essential Functions:An experienced, reliable, and task-oriented Administrator that will support all areas of the supply chain structure including, but not limited to, purchasing, planning, scheduling, inventory, warehousing, logistics, customer service, project management, and EHPerforms general administrative duties in support of the Supply Chain leadership team (e.g. schedules interviews, general on-boarding duties, filing, ongoing employee support and assistance, expense reports, travel, etc.)Perform duties as needed related to budget, expenses and purchasing processesSupport leadership on a variety of activities requiring a high level of discretion (e.g. dealing with confidential and/or proprietary client and employee information)Scheduling team meetings, including coordinating and confirming attendance, arranging all logistics, and arranging for equipment / supplies / refreshmentsMaintains inventory of office supplies (ordering & stocking)Provides functional support and cross trains in several key office functions to be prepared to perform as a backup to the primary staff person on an as needed basisAd hoc and overflow projects as necessaryManagement of team space, including moves and reconfigurations of workspacesRecord keeper for team contact information and reporting structurePrepares presentation and meeting material by writing and/or editingCoordinates the annual and strategic planning sessionsPOSITION QUALIFICATIONSEducation: Associates degree or equivalent work experienceExperience/Abilities:3 – 5 years of related experience in Office AdministrationExcellent verbal and written business communication skills.Must be detailed orientated and accurate.Ability to succeed in an ever-changing and fast-paced environment.Ability to effectively manage multiple, competing priorities under a given timeline.Ability to show considerable discretion regarding sensitive and/or confidential information.Interpersonal, Communications and Influencing skillsExcellent communication skills both verbal and writtenStrong sense of urgency and ability to thrive in a fast-paced environment.Ability to work with a teamMust be confident, self-aware and independentComputer SkillsProficiency in MS Suite products (specifically Access, Excel, Word, PowerPoint and Outlook)Tracking
