Administrative AssociatePart-time, non-exempt(20 – 25 hrs/week)Compensation $19.23/hourReports to Executive DirectorSummarySelf Help Graphics & Art (SHG) is seeking an Administrative Associate to support all administrative functions of the organization and to serve as direct support to the Executive Director. The Admin Associate will be the front of house presence when onsite and will provide support for administration, data management, human resources functions, and logistical support where needed for events and programming. The Admin Associate will also support bookkeeping and accounts payable functions overseen by the Operations Manager. The Admin Associate is a welcoming representative of the organization and will serve as the first point of contact for visitors and program participants during the week, and may be asked to support on some weekends and evenings for special projects and major events. The Admin Associate is expected to complete their duties in a timely and accurate manner while maintaining the confidentiality of sensitive information.ResponsibilitiesWork closely with Executive Director to ensure timely updates of annual renewals such as insurance, property taxes and other annual obligationsSupport with minor HR functions as needed, such as processing new hire documents, posting job descriptions to job boards, and filtering candidatesProvide file maintenance and cloud system management support; maintain relevant documentation and records in hard copy and soft copy, including original receiptsProvide support on financial administration to the Executive Director and Operations Manager, including processing invoices, vendor forms, and otherSupport administrative and logistical aspects of major programs such as the Day of the Dead season and major fundraising eventsMaintain annual program and event attendance records and other data for grants and fundraising purposesMonitor and direct general email inquiries and social media account messaging systemsPeriodically update basic information on websiteSupport the Operations Manager with venue rental inquiries and follow up; provide excellent customer serviceServe as an organizational liaison for community partners utilizing facility and support onsite partner programs during regular work hoursBe available to staff venue rentals during evenings and weekendsBe a welcoming presence in the building and guide visitors and artists to appropriate area for their needsWhen needed, lead tours of the site for donors, special guests and school groupsQualifications1 year experience in nonprofit or private sector preferredAbility to communicate and interact effectively with multiple stakeholdersBilingual (English/Spanish) requiredDemonstrates self-awareness, understands the perspectives of others and approaches interpersonal relationships with empathyExcellent written and verbal communication skillsAbility to work effectively independently (self-starter) and as part of a highly collaborative teamDetail-oriented and works with discretionExcellent organizational, planning, and implementation skillsPositive energy and the ability to manage many personalities with respect and diplomacyCommitment to and passion for the mission of Self Help Graphics and Art and the community we serve.Working Conditions, Physical Effort and Location:Moderate physical effort.
