Overview

Summary:The Office Assistant is responsible for performing a variety of administrative duties, bookkeeping, and clerical tasks in a busy wildlife hospital setting. Duties include communicating with the public and donors, processing accounts receivable, data entry, daily office tasks, and making deposits.This person works closely with the Executive Director and assists with creating correspondence, spreadsheets, and preparing budget reports.Essential Functions:Daily use of computer – utilizing donor database software, data entry, creating spreadsheetsElectronic and hard copy filingMaintains education calendar, communicates with team regarding programs, creates and tracks invoicesPlaces supply orders for clinic staffRespond to email inquires regarding patient progress, education requests, and other questionsOperates office machines, including computers, copier/scanner/fax, multi-line phone systemAssists Executive Director as neededRequired Education and Work ExperienceBA preferred; a combination of education and experience consideredMinimum 2 years’ experience in administrative support, with specialty in finance a plusProficient with Microsoft Word, Outlook, Excel, Google CalendarExperience with non-profit donor software systems and QuickBooks, preferredKnowledge and Skills:Flexible and a self-starter; proactive in recognizing needed tasksExcellent people skills; enjoys working in a collaborative environment; a team playerStrong multi-tasking ability and able to prioritize and balance multiple tasksExcellent organizational skillsHighly detail orientedStrong written and verbal communication skillsAble to handle sensitive/confidential informationAble to work in a humane, responsible, and professional mannerKnowledge of WA wildlife species and interest in animal welfarePositivity and a good sense of humorTracking
