The OpportunityRestore Oakland Inc. (RO) is hiring for a new staff position to coordinate our facilities and administrative systems. The Facilities & Administrative Coordinator will join a growing team at Restore Oakland Inc., a new 501c3 organization born from the visionary Restore Oakland Capital Campaign that created the nations first ever space designed to house restorative justice circles. We house Cause Justa Just Cause, the Ella Baker Center for Human Rights, and the Restaurant Opportunities Centers Bay Area chapter. RO partners with each of these organizations to provide community organizing opportunities, hands-on job training, restorative justice circles, and housing rights services- all in one space.In addition to being a force multiplier, our unique programming draws upon the traditional wisdom of our Indigenous community to transform our local economic and justice systems. RO unites our community by providing free to low cost meeting space, organizing grassroots power to divest from policing and prisons, and promote access to healing justice circles and restorative justice practices.Position OverviewReporting to the RO Program Manager the RO Facilities & Administrative Coordinator is responsible for ensuring smooth day-to-day operations for the Restore Oakland team. Key responsibilities include maintaining office facilities, coordinating logistics for facilities rentals, carry out administrative tasks to support staff and programs, and tracking community data.The RO Facilities & Administrative Coordinator is a member of a team that provides stellar customer service to Restore Oakland staff, volunteers, and visitors in two functional areas; hospitality and reception, room rentals management and administrative services. The RO Facilities & Administrative Coordinator manages room rentals and is cross-trained in other service areas in order to cover additional duties and responsibilities critical to the priorities of the organization and as directed by the Program Manager.Duties and ResponsibilitiesGreet visitors, receive, respond and redirect phone calls and emails as needed. Share general information about Restore Oakland to visitors, community partners, and the public.Provide general clerical support, copying, scanning, and filing documents as needed to support RO staff. Read and route all incoming mail, donations, and deliveries and process outgoing mail in coordination with the RO team.Coordinate and and prepare routine staff meetings and community cultural activities/events, which includes but is not limited to scheduling, agenda creation, meeting facilitation, event coordination, and room set up and breakdown.Market Restore Oakland community meeting spaces with support of the Restore Oakland team on all online platforms.Respond to inquiries about events, current programs, and assist with scheduling community room reservations.Meet with potential third parties to preview space and services. Negotiate, manage and document all room reservation contracts and file in an online database with support from Development Manager.Prepare rooms for Restore Oakland programs and community room rentals, opening on time and locking after the event.Represent Restore Oakland in public facing events through positive interactions with tenants, partners and community members and work with volunteers as needed.Support Restore Oakland team with general database maintenance and upkeep with support from RO Development Manager.Track receipts for expense reports and handle financial reimbursements in coordination with the RO Finance staff. This position works in a community center setting, performing general office duties.The duties listed above are intended only as illustrations of the various types of work that may be performed. The omission of specific statements of duties does not exclude them from the position if the work is similar, related, or a logical assignment to the position.At least 2 years of receptionist and/or administrative assistant experience with a strong background in community engagement.Ability to work independently, using good judgment to make decisions as necessary.High level of proficiency with Google Suite products, Microsoft Office Suite, including Word and Excel.Familiarity with technology and audio visual equipment.Excellent written and oral communication with the ability to speak professionally and with confidence.Required QualificationsMust be flexible and able to work collaboratively and cooperatively as a team with colleagues to meet the Restore Oaklands workload and responsibilities.Must be able to work flexible hours including overtime, and evening and/or weekend hours.Candidates must be well-organized, have stellar time-management, and a high attention to detail is critical.Position requires occasional lifting of up to 25 pounds, including room set-up and take down, and ability to climb stairs and walk between three floors.Preferred QualificationsFluency in Spanish is highly preferredExperience working in a community center or nonprofit setting preferredExperience working in facilities management is preferredSalary Range$54,500- $60,000 depending on experience.RO offers a generous benefits package that includes health, dental, chiropractor, acupuncture, life insurance, vacation and sick time.How to ApplyPlease submit application materials in pdf form to with Facilities & Administrative Coordinator in the subject line.
