Please feel free to apply today.RHD’s IDEATE program is currently seeking a dynamic Administrative Assistant to join their team and coordinate the frontoffice environment and experience.The mission of IDEATE is to support our clients in breaking the cycle of poverty by providing highly vulnerable and underserved individuals person-tailored pathways to careers using technology and community engagement.Responsibilities/DutiesCreate staff schedules based on staff availability and supervisor approval in the online scheduling portal.Create client schedules based on compliant frequency and duration of service at community-based locationsUpdate staff schedules daily as needs ariseCommunicate client schedules to clients and their families/staff.Confirm client schedulesPay business unit billsTrack document staff & client schedules and attendance. Enter client attendance into electronic health record and purchase order systemsReconcile client attendance in electronic health record with documentationInitiate staff documentation corrections and follow-up on their completionCommunicate with Division’s billing personnelBrief Unit Director and Assistant Directors on client and staff attendanceProvide administrative support to Unit Director and Assistant DirectorsOther duties as assignedRequired Experience2-3 years of administrative assistant or front office coordination experienceRequired EducationBachelor’s Degree required, preferably in Business AdministrationRequired QualificationsValid driver’s licenseAbility to provide 2 professional referencesUse of online purchase order systems and electronic health record systemsKnowledge of RHD Corporate policies and proceduresKnowledge of standard office proceduresKnowledge of grammar and compositionSkill in using standard office equipment, such as computer, printer/scanner/copier, and telephoneSkill in using Microsoft ExcelExceptional organizational skillsExceptional attention to detailAbility to write and maintain accurate recordsAbility to communicate effectively in a courteous and professional mannerAbility to work in a team environment is a mustAbility to maintain HIPAA compliance Program SummaryIDEATE is an inclusive employment program dedicated to providing trauma-informed support to individuals with barriers to getting and sustaining earning opportunities.
