The Inspections Administrative Assistant will be responsible for providing support and assistance throughout the inspection review process and for performing administrative review of Inspection Reports. The Inspections Administrative Assistant reports to the Inspections Supervisor.Starting salary$33,000 per year, DOEMajor ResponsibilitiesProvide support to the OMRI Inspections ProgramContact inspectors with available inspections, inspection packets and trainings.Create inspection requests and update files for inspection request, such as product label packets.Update spreadsheets and databases relating to the inspections workObtain stream of commerce samples, sample and ship as neededPerform administrative pre-review of inspection packetsReceive inspection reports and scan hard copy submissions and save them in appropriate locationsConduct preliminary review of reports for completeness, including communications with inspector regarding missing information or incorrect invoicingOrganize and bookmark inspection report files for technical reviewProvide administrative support to the OMRI Review Program, including data entry, scanning documents, taking meeting notes and minutes, etc.Monitor deadlines related to the inspection review processTrack deadlines for reviews, extensions, missing information,Send deadline reminders and extension letters to suppliers as requiredEnsure that work done is in line with OMRIs quality management system, and update procedures and processes as requestedThoroughly understand and implement OMRI administrative policies and review criteriaDraft or revise document templates, work instructions, and correspondences (i.e. administrative checklists, forms and letter templates) relating to the ORP administrative work as requestedEnsure adherence to OMRIs Quality SystemProperly manage confidential business informationOther duties as assignedQualificationsEducation and Experience:High School diploma or equivalent required.
