Overview

Bilingual Administrative Assistant Essential Job Functions: Serves as the first point to contact for the public: answers telephone calls and greets visitors; problem solves issues; initiates and returns calls as necessary. Must have the ability to speak and write Spanish fluently and act as the Foundation’s bilingual liaison. Reports to the Director of Operations. Performs data entry functions; scans documents into computer; verifies accuracy of entered data and makes corrections. This position will be cross-trained on the Foundation’s childcare management/billing software, as well as the fundraising and post-secondary scholarship software. Receives funds for payment of various fees/services; records transactions and issues receipts; files a variety of paperwork. Other duties as assigned. Qualifications and Education Requirements High School Diploma or GED required; supplemented by six months of experience in clerical, administrative, or customer service work. Must be proficient in Microsoft Office products, including Word, Excel and Power Point. Accountability The employee demonstrates a sense of responsibility for completing tasks. The employee recognizes how their performance impacts the goals and objectives of the Foundation. The employee establishes priorities appropriately, completing the most urgent/time-sensitive tasks. The employee will be self-motivated, work with their supervisor on daily tasks, as well as longer-term projects. Ethical Behavior The employee demonstrates integrity, confidentiality, honesty and a sense of responsibility in their performance of all tasks. Spending time on the cell phone during business hours should be on an emergency basis. Teamwork The employee will be willing to pitch-in to help others to complete tasks, if needed. The employee will maintain a high-level of respect for each customer and co-worker, treating each as an individual. Time Management The employee completes assigned tasks on time. The employee will report to work at their scheduled time and if unable to report, will communicate this to their supervisor with an explanation for absence or tardiness. The employee will respond to inquiries by customers and/or co-workers within 24 hours (during operating hours). Customer Service The employee is professional in communication with customers and co-workers, exercises sound judgement, and represents the Foundation in a positive manner.
