This Administrative Assistant is responsible for the administrative support and reception duties in our new campus on the Portland waterfront.Responsibilities:They will handle complex and confidential situations and requests and serve in a highly visible capacity as a resource for the Chief Administrative Officer, the Head of Partnerships and Operations and members of the Partnerships team in the form of expert support including scheduling requests. The ability to produce and draft reports and other complex documents and materials for distribution on behalf of the team, including proofreading and editing, and designing layout and graphics for presentations, is a plus.Additionally, the successful candidate will provide reception coverage and front-line customer service, acting as the first point of contact for guests. The goal is to greet and screen these guests and team members following the safety guidelines in accordance the state of Maine, the CDC and Northeastern University.Qualifications:Associate’s degree required; Bachelor’s degree preferred with 3-5 years of experience in an office environment. Experience working in higher education a plus. Candidate must be a mature professional who can manage and facilitate an intense workload and produce quality results in a fast-paced environment. Must be able to manage multiple priority projects at once with ease and efficiency. Must be a self-starter who is highly motivated, can think independently and analytically, is organized, and extremely detail oriented. Must be proactive, anticipate problems, and be resourceful to find workable solutions, and should work well with others at all levels. The ideal candidate has experience with the gathering, analysis, and reporting of data. Evening and weekend work is required as needs dictate.The ideal candidate has direct experience in information management and possesses strong written and verbal skills. Experience with managing databases is essential.
