We are looking for someone who is people-oriented and also loves order, organization and systems!Administrative & Facilities Oversight (70%)Supervising a staff of six (five Administrative staff and 1 Receptionist), you will be responsible for all office and facilities management.Oversee and support all administrative duties in the office and ensure that office is operating smoothly.Serve as the point person for facilities/office maintenance and all building-related issues.Manage office supplies:ordering, inventory and budget tracking.Supervise incoming and outgoing mailing processes and procedures.Coordinate with IT department to resolve office and staff technical difficulties.Review invoices and prepare and submit check requests.Manage relationships with a variety of vendors.Responsible for ensuring all closed client cases are organized, tracked and sent for scanning.Lead COVID Health & Safety policy and procedure implementation.Operations Management (30%)Working closely with the Chief Operating Officer you manage ongoing and special projects related to the operations of the office.Projects typically overlap with IT, Finance and Human Resources.Draft, circulate and ensure compliance with standard operating procedures and office-wide policies.Identify opportunities for process and office management improvements.Design and implement new systems.Analyze data and create reports.Liaise with Unit Heads on special project requests and implementation.Coordinate insurance compliance for the organization including annual renewals and requests for certificates of insurance as needed for vendors and funder contracts.Organize interpretation services for staff and clientsPlan and implement organization-wide meetings and events.QualificationsBachelor’s degree preferred.2+ years experience in an administrative coordinator /office management/operations role.Strong problem-solving skills and analytical abilitiesHighly organized with ability to keep track of multiple competing demands; strong ability to prioritizeImpeccable attention to detailMust be a self-starter and drivenExcellent communication and interpersonal skillsHigh level of energy, commitment and positivityStrong solution-oriented mindsetMust be proficient with Microsoft Office.Comfort with Word, Excel and Power Point a must.Note that at this time this position will be required in the office approximately 3 days per week.Ultimately, when the office is fully opened, there will be an opportunity to work from home one day per week.Tracking
