Learn more at the PositionTemporary Administrative Assistant will support the Chief Operating Officer in the day-to day operations of the National Fund to meet organizational needs. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain and balance multiple priorities. The Temporary Administrative Assistant will have the ability to work independently or with others to handle a wide variety of tasks.The applicant may work 30-40 hours per week and is expected to stay on through June 2021 with the potential of extending the work throughout the summer. Reports to: Chief Operating OfficerEssential Duties and ResponsibilitiesMeetings & Scheduling Coordinate and set-up meetings in-person and virtually with various stakeholders. This includes general event management such as catering, planning/setting-up, booking travel for event attendees, including reimbursement of expenses incurred by approved attendees, and other tasks as needed.Completes a broad variety of administrative tasks for the President & CEO including managing an active calendar of appointments and meetings; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.Fiscal Management Processing of contracts and Subawards, including ewviewEnsure that all contracts and subawards submitted are reviewed with minimal errorProvide guidance to staff members on correct contracts procedureProvide support in creating agreements when needed for senior staffInvoices & ProcessingOffice (Remote) ManagementAssist COO with on-boarding of new staff and training on company-wide systems and platforms.Ordering stationery, equipment and other office supplies as needed;Address employees queries regarding office management issues (e.g. supplies, equipment and travel arrangements);Ensure all systems are working effectively (phones, printer, mail, etc.);Maintaining the office condition and arranging necessary repairs with building maintenance.Communications SupportSupport the Marketing and Communications Director in managing the production of National Fund publications and designed materials.Support the production of email communications to audiences and local partners about National Fund activities and successes.Assist in the management of National Funds Twitter, Facebook and LinkedIn platforms and produce social media toolkits and content for partners.Provide support in operating National Fund communications tools including its CRM and mass-marketing systems, collaboration platform, and its webinar platformsDesired QualificationsProficiency in MS Office (MS Word and MS Outlook, in particular)Proficiency with Zoom and technology generallyExperience working in a team-based approachExcellent interpersonal and communication skills and ability to engage and work with individuals by email and telephoneExcellent time management skills and ability to multi-task and prioritize workAttention to detail and problem-solving skillsExcellent written and verbal communication skillsStrong organizational and planning skills in a fast-paced environmentAn Associates or bachelors degree preferred2+ years experience as an Administrative AssistantNonprofit experience preferredAll National Fund staff are working remotely until at least June 2021.
