Duties include handle phone calls (both outgoing and incoming calls), general clerical tasks, data entry, process picture IDs and mail-in application, manage faxes and handle numerous other customer requests.This position is located at our office in Honolulu, HI.Answer inbound phone calls in a polite, timely mannerEnter Customer contact information into appropriate software system; ensure accuracy of data entriesTake photos of all Customers and create identification cardsConduct outbound phone callsMaintain program spreadsheetsMaintain daily customer scheduling for Eligibility staffMaintain ongoing communication with the Quality Assurance team and the management team in regards to, violation of contractual deadlines and/or possible liquidated damagesCollect, track and maintain all monies collected for replacement IDsMaintain confidentiality and comply with HIPAA regulationsAnticipate needed supplies and order replacement supplies in a timely mannerManage all office equipment, including printers and photocopier, serving as point of contact for VendorsMaintain vendor files, monitor service and recommend alternative suppliers as appropriateDesign filing systems, document scanning and ensure they are maintained and up-to- date electronicallyProvide comprehensive reception coverage while maintaining a high level of professionalismEnsure all staff and visitors are greeted in a pleasant and professional mannerProject a professional image of MTMEstablish and maintain effective working relationships with employees, supervisors, other agencies, participants, external partners and the general publicCommunicate professionally with Leadership both internally and externallyPrepare and process mail daily, both outgoing mail and delivering all incoming mail to the appropriate departmentsCreate mailings for appointment reminders and re-certification lettersAssist with printing and mailing determination lettersCreate Customer information packetCreate Client foldersEnter all mailed information and dates into appropriate software systemAttend to a variety of administrative details such as keeping informed of department activitiesReport promptly any complaints or unusual circumstances that may arise to ManagementCheck fax machine regularly; deliver faxes to the appropriate person/department with special attention to urgent faxesConduct Marking and Tethering assessments as required by business needsRegular attendance required for assigned shifts and as outlined by MTMs attendance policyAdhere to all MTM established protocols and policiesAll you need is…High school diploma or G.E.D.College degree, preferred2 years customer service experience1 year administrative experience in a professional environment1 year experience working with the ADA and/or elderly populationMust be authorized to work in the United States and not require work authorization sponsorship by our company for this position now or in the futureEven better if you have…Ability to work in multiple software systems at onceExemplary communication and phone skillsExcellent customer service skillsExcellent organizational skillsAbility to work independently and as part of a teamAbility to identify with customer needs and circumstancesAbility to handle multiple tasks and situations in a fast pace environmentKnowledge of Microsoft Word, Microsoft Excel and other Office Suite ProductsAbility to type 40 wpmRegular, reliable attendance in the office requiredMTM Incentives Health and Life Insurance PlansDental and Vision Plans401(k) with a company matchWork From Home OpportunitiesFlexible SchedulingPaid Time Off and Holiday PayMaternity/Paternity LeaveBirthday HolidayCasual Dress EnvironmentTuition ReimbursementMTM Perks Discount Program Milestone Anniversary One Month Sabbatical Leadership Mentoring Opportunities Equal Opportunity Employer: MTM is an equal opportunity employer.
