Essential Responsibilities

  • Facilitates intake, admissions and utilization review process
    • Responds to inquiries about McCallum Place within 24 hours of incoming contact
    • Schedules/completes preadmission assessments and communicates recommendations to patients/families
    • Collaborates with McCallum Place medical and psychiatric personnel to ensure appropriate recommendations and admissions
    • Coordinates admissions and transfers between levels of care at McCallum Place
    • Communicates projected admissions and updated projection sheets to Patient Accounts Representative in a timely fashion
  • Performs insurance benefit verifications, disseminating the information gathered to patient/families/appropriate McCallum Place staff
    • Ensures all medical admission documentation is gathered from outpatient sources prior to patient admission
    • Secures initial pre-authorization for treatment for patient admissions
    • Assists individual therapists with concurrent reviews with insurance companies to secure continued treatment for patients
    • Coordinates and facilitates peer to peer reviews when needed
    • Collaborates the results of peer to peer reviews with entire multi-disciplinary treatment team
  • Provides accurate and ongoing assessment of patient’s status in the intake and utilization process. Responds to and communicates this appropriately through verbal and written communication
    • Communicates treatment recommendations to and coordinates with outpatient treatment teams
    • Provides clear and accurate documentation of all contacts with prospective patients, family members, referral sources, payors, etc.
    • Assist Marketing and Admissions Coordinator with preparation for conferences and special events
  • Demonstrate commitment to advancing professional skills and development through attendance of training
    • Attends and actively participates in department meetings, and trainings
    • Attends annual safety training
    • Completes McCallum Place required physical, and TB Testing
    • Adheres to National Patient Safety Goals
  • Demonstrate professional conduct, concern, respect and compassion toward all patients, families, co-workers and the public as a representative of McCallum Place
    • Respects and maintains the confidentiality of all patient information, which includes not speaking about patient information in public settings or non-private areas at McCallum Place (i.e. community space, office with a door open, etc.)
    • Demonstrates ability to work in a cooperative manner as a team member
    • Demonstrates ability to problem solve issues with coworkers and refrain from involvement in negative talk regarding coworkers
    • Communicates concerns regarding policies, working conditions, patients, or coworkers through appropriate channels

    • Represents willingness/enthusiasm to create, embrace and facilitate change
    • Maintains confidentiality

Additional Duties and Responsibilities

  • Complete other duties as assigned by Intake and Admissions Director
  • Shares on-call rotation for Admissions and Intake Department
  • Other duties as assigned by Supervisor

Education and Experience Requirement

  • Preferred Bachelor’s Degree
  • Minimum of two years experience working in a behavioral health setting
  • Excellent verbal and written communication skills.
  • Excellent computer skills, including advanced Word, Excel, and PowerPoint.
  • Ability to work independently and with a team in a fast-pace with emphasis on accuracy and timeliness.
