Position Summary: Provides administrative support to the facilities, purchasing and/or operations department. Works under the general supervision of Facilities, Finance or Operations management as appropriate for the site. Secures the implementation of Information Security Management System (ISMS) in all aspects of the job. Works with various vendors as required by the site activities and needs. Oversees scheduling and deployment of such services as housekeeping, maintenance, security, site travel, site visitors, and other related tasks. Performs variety of clerical tasks as required. Overall Responsibilities: Replies to emails and other queries received from internal clients and support groups.
Plans and schedules meetings.
Provides basic departmental training to vendors and employees assigned to the site
Maintains all Facilities and other related documents in an orderly manner as subject to audit or company requirements.
Performs daily operational tasks such as reception and site inspections, takes or schedules corrective action and completes appropriate paperwork
Regularly interacts with all the site staff members including finance, operations, security and technical.
Provides backup support for other staff as required.
Assists with maintaining site in a manner that provides for employees safety
Prepares documents to ensure vendor payments in a timely manner
Performs finance related tasks as needed.
Directs and maintains essential functional services are performed such as reception, security, maintenance, mail, archiving, cleaning, catering, waste disposal and recycling per site;

Ensures the facility meets health and safety requirements and that equipment complies with legislation and company standards.

Schedules travel and assists with arrangements as needed.
Job Requirements: High School Diploma or GED
2-3 years of working experience in a related field
Strong problem-solving skills
Positive attitude and high degree of self-confidence
Ability to work well with all levels of staff and managementTracking
