About thePositionLegal Aid Justice Center seeks a professional to provide high-level administrative support to the Executive Director and other senior staff. This person will need a strong sense of urgency and be able to work independently on short and long-term assignments. The right candidate will have strong attention to detail and quality while still meeting deadlines, have great organization skills, and have the ability to switch gears at a moment’s notice. A high level of integrity and discretion in handling confidential information, and professionalism and empathy in dealing with people inside and outside the organization is important, as is a good sense of humor. This role offers an exciting opportunity to be immersed in a fast-paced, collaborative, and mission-driven environment.Job Duties Provides high-level administrative support and assistance to the Executive Director. Management of complex calendars and scheduling logistics. Performs clerical and administrative tasks, including drafting letters, memos, reports, and other documents for the E.D. Assists in preparation for meetings, including composing agendas, assembling preparatory materials, taking notes, recording minutes, and attending meetings on behalf of the E.D. Receives incoming communication or memos on behalf of E.D., reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff. Provides support to Board of Directors, including mailings and assistance as it pertains to meetings. Provides clerical and administrative support for hiring and onboarding processes. Performs additional duties as assigned by E.D., including special projects that require extensive research or problem-solving.Required Qualifications Excellent verbal and written communication skills. Excellent organizational skills and attention to detail. Excellent time management skills with a proven ability to meet deadlines. Ability to solve problems and maintain a high degree of confidentiality. Extremely proficient with Microsoft Office 365 Suite or similar software with the ability to learn new or updated software. Commitment to LAJCs mission to partner with communities and clients to achieve justice by dismantling the systems that create and perpetuate poverty.Preferred Qualifications Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
