JOB OBJECTIVE:To ensurethatall of LBCs administrative and back-office functions run efficiently,effectivelyandat the highest level of excellence through the maximum use ofappropriatetechnology.ACCOUNTABILITY:Directly reports to the President/CEO.CLASSIFICATION:This is a part-time, non-exempt position.RESPONSIBILITIES:Provide all administrative support across all aspects of the organization.DataManagementAssist inrefining andimplementingtheCRM system (Salesforce)Determine new procedures, fields and functionsnecessary to provide LBC with the data it needs to run the organization in the most efficient and effective manner possibleEnsure that staff is adequately trained in using the databaseInitiate and oversee continuous quality improvementCreatemonthlydashboard to reflect progress against goals as tracked by database andbookkeepingsystemsMaintain the databaseand email marketing platform(Salesforce and Mail Chimp)with up-to-date information on class members, alumni, dues, events,donors, stakeholders,etc.Research contact informationforall various stakeholdersCreate ad hoc reports, as neededMaintain online member directoryProgramCandidates / Class MembersArrange for all interviews upon receiving candidate applicationSchedule alumni to serve as interviewersPrepare and distribute application and other necessary documentsto all interviewersCreateand send acceptance packets to new class membersEnsurereceipt of and maintain all documents new class members must signIdentify and manage booking of opening retreat venuePrepare class roster and binders for Opening RetreatAssist withmeals and refreshments for all eventsas needed(i.e., Information Breakfasts, Leadership Learning Days, Center Stage event, alumni events, etc.)Arrange for bus service for Leadership Learning Days, if neededAssist with other Leadership Learning Day preparation as needed, such as requesting and tracking all class members county districts forCountyGovernmentday, all class members legislative districts for State Government Day, solicit volunteers for Social Services day, etc.Select, order andpreparecommencementgift to class membersAlumniAssist with alumni and public eventsas neededSend monthly pairing topreviousclass for suggested one-on-one meetingsCoordinate membership dues mailingsCreateor updatecover letterCreate invoicesCoordinate withvolunteers to assemble snail mail portionUtilize software to send email portionTrack payments in database, quick books and best class ever spreadsheetFund Development & FinancialPrepare invoices for sponsors, tuition, and board pledgesEnter transactions in QuickBooks,reconcile bank and investment accounts monthlyPrepare financial statement reports for President & CEOAssist with sponsorship solicitations for Leadership Learning Days and All Class ReunionAssist with recruitment, as neededProvide accounting firm with documentation needed to prepareyear-end financials and990sBoard,CommitteesSend calendar invitations to all board memberseach new calendar yearPrepareand distribute board packets one week before each meetingPrepare and maintainelectronicboard bindersSchedule new board member orientation meetingsEnsure receipt of andmaintainall documents board members must signSecure location, order food and provide administrative support for annual board retreatProvide logistical support for committee meetings, as requestedAdministrativeManage technology support consultant(s)Order office suppliesCreate weekly staff meeting agendasQUALIFICATIONS:Proven track record in database management / CRM systems, preferably SalesforceKnowledge and experience with bookkeeping and financial managementProficient in Microsoft Office SuiteDemonstrated flexibility and excellent organizational skillsAbility to pay close attention to detail with a high degree of accuracyExceptional written, verbal and listening communications skillsAbility to manage multiple assignments, set priorities, meet goals and deadlines, and adapt to changing conditionsAbility to set and adhere to high standardsRespect and appreciation for differing views as well as a sensitivity to those who may be different than youAbility to find solutions to problems using creativity, reasoning, and past experiences along with the available information and resourcesAbility to work well independently as well as part of a teamAbility to exercise flexibility, initiative, good judgment and discretionAbility to plan activities and programs such as meetings, orientations, retreatsAbility to work a variable schedule on occasion, including early mornings, evenings and/or weekends
