The School Counseling Administrative Assistant is responsible for collaborating with the school counselors to support academic projects and initiatives. He/She performs administrative and office support activities. Duties may include fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets, record keeping, filing, and faxing.

Processes incoming high school transcripts in a timely manner, enters transcript data into school databases, uploads the transcripts to the electronic student database, and files paper copies when needed.
Supports school counselors with a variety of projects from start to finish.

Assisting the guidance counselors with verification of earned credits and ensuring proper class placement.
Assists counselors in verifying graduation requirements.
Coordinating/scheduling 504 service agreement team meetings
Collecting necessary documentation relative to 504 service agreements (e.g., sending parent input, contacting previous LEAs for plans as necessitated, etc.).
Collaborating with the 504 Coordinator to monitor 504 compliance
Prepare and compose internal and external correspondence with appropriate follow-up
Request, review, organize and maintain records and consent forms while exercising the utmost confidentiality in handling.
Prepare materials for presentation using Microsoft Office and other related tools.
Participate in meetings ensuring that all required information is completed, delivered in advance and available for the appropriate parties.
Communicate with various internal departments to coordinate projects and/or activities and work closely with external parties in administrative matters.
Anticipate and execute on various duties as required to effectively support the team.
Maintains daily office calendars, including scheduling meetings
Perform other duties as assigned. Supervisory Responsibilities:This position has no regular supervisory responsibilities but may from time-to-time supervise one or more temporary employees who are engaged for a specific project. While not supervisory, this position requires the Academic Administrative Assistant to coordinate but not supervise others from across the school community.

Minimum Required Qualifications

Associates degree
Experience in an educational setting, project management or similar coordinating role
Meets all criteria for employment in a PA public school, including satisfactory PA child abuse, PA criminal record, and FBI background check reports Preferred Qualifications

Bachelors Degree in Education, Business or related field Minimum Required Skill Set

Ability to work independently in a fast-paced atmosphere
Excellent interpersonal skills to maintain positive, customer-oriented relations and rapport, including appropriate telephone etiquette and decorum
Ability to follow instructions and make decisions with little supervision
Maintain strict confidentiality regarding student files, questions and concerns that arise from parents or staff about schools
Familiarity with Microsoft applications (Word, Excel, Outlook, PowerPoint). Familiarity with Google applications desired. Familiarity with preparing reports from spreadsheets and databases desired.

This is an office-based position. The noise level in the office is usually moderate (computers, printers, light foot traffic). Ability to sit and stand for extended periods of time.

Ability to interface diplomatically with all members of the school community – administrators, teachers, parents, students, Board members, support staff, colleagues, and outside professional contacts.
Ability to coordinate and use technology for a variety of workplace purposes and communications.
