Las Vegas based social service agency is seeking an Office Manager to facilitate the successful operation of our corporate office. This individual works with and supervises all office staff members in support of human resource and client support services. The Office Manager assist in coordinating office services, records control, client and staff support, and special projects; organize and administer the corporate office; and contribute to effective communication and pleasant working conditions.

We are looking for a highly qualified office manager to run our corporate office. You will be responsible for day-to-day operation, the maintenance of client and staff records. As an office manager, you should demonstrate excellent organizational skills and the ability to perform well in a stressful and constantly evolving environment. The Office Manager position requires knowledge of healthcare/social service systems operations. Ultimately, you should be able to ensure steady workflows and uninterrupted service in our office.

Responsibilities

  • Establishing ongoing procedures to collect and review information needed to assist in billing and accounting support services to meet business performance results, deadlines and reporting
  • Assist in payroll processing as necessary

· Manage relationships with vendors, service providers and landlord, ensuring that all items are invoiced and paid on time

  • Maintaining training records and ongoing data entry into training system
  • Order office supplies
  • Develop and implement office policies and procedures
  • Supervise office staff

· Coordinate office staff activities to ensure maximum efficiency

  • Maintain client and staff records
  • Liaise with external stakeholders, clients, guardians, and sub-contractors to achieve optimal results
  • Arrange cleaning staff and emergency maintenance services as necessary
  • Generate/maintain inventory records
  • Ensure compliance with all current state and federal regulations while maintain high ethical standards
  • Completing state-required training per regulations

Remain updated on technical and professional knowledge by attending educational workshops, joining professional associations, building networks with fellow professionals and reviewing of industry publications

Skills and Qualifications

  • Proven work experience as an office manager
  • Knowledge of accounting, data and administrative processes and principles
  • Ability to handle client records discreetly
  • Excellent organizational, time-management, problem solving/resolution, and decision making skills
  • Ability to multi-task and perform well in stressful situations
  • Possess excellent communication skills in diplomacy and a customer service orientation
  • Business computer applications, including Microsoft Office (Outlook, Word, Excel) as well as the ability to learn new computer applications
  • Must possess a dedication to people with intellectual and developmental disabilities

· Will be required to maintain valid First Aid Certification and valid Driver’s License.

· Must be able to pass a criminal history report without any disqualifying offenses

  • BS degree in Healthcare Administration, Business or relevant field required

Job Type: Full-time

Pay: $60,000.00 – $65,000.00 per year
