Position Description: Administrative Assistant

Summary: The ideal candidate will be an outgoing, detail-oriented individual with the ability to effectively work across multiple, simultaneous projects in support of administrative, operational, and strategic initiatives.

Primary Responsibilities:

  • Expense & Travel Management including bi-weekly expense reporting back-up duties
  • Administrative support of the Business Development team
  • Calendar management for the Partner of Business Development
  • Weekly Travel Calendar & Staff Meeting Materials management
  • New Hire Onboarding: management of training materials, conduct training sessions during new-hire orientation
  • Meeting & Catering Coordination: Organize internal/external meetings including catering, meeting materials, etc.
  • Events Coordination: Assist with coordination of Annual Meetings, Strategic Planning Sessions, Executive Forums, holiday parties, team outings, Business Development networking events, etc.
  • A/V Conference Coordination: Ensure functionality of AV equipment and flawless execution of audio/video conference meetings
  • Invoice Management: Send expense summaries to Incline teams for approvals and email invoices to portfolio companies
  • Facilities Management: Manage office visit registrations, environment requirements, fire extinguisher safety program
  • Supplies Fulfillment Coordination: Distribute and organize receivables, daily replenish of supplies in respective areas, daily/weekly supplies restock for all printing devices
  • Management of internal Telephone Directory
  • Mailings: Management of certified mailings of tax filings, distributions, and notifications
  • General Reception duties and other clerical tasks as assigned

  • Knowledge of various conferencing platforms (BlueJeans, Zoom, Teams, etc.)

Education / Experience Requirements:

  • 3-5 years of administrative assistant experience or similar

Location and Hours:

  • Pittsburgh, PA
  • 8:30am – 5:30pm with occasional overtime and travel required
