We work through the modalities of organizing, training, policy advocacy, litigation, and support.The Director of Administration Services (DOA) will provide operational support to our organization as we grow and develop our Operations Department and with the recent relaunching as an independent 501c3 after fiscal sponsorship. The DOA will support administrative functions within the Operations Department and lead independent projects on the development of internal functions related to risk management, safety, human resource support, and general administration. The DOA will manage the day to day systems within the Operations Department and provide oversight to all administrative functions within the department. The DOA will build and lead a small team and work with consultants and outsourced services as needed. He/She/They will support the Chief Operating Officer in organization-wide system development.Given the role and responsibilities expected from the DOA, If/When/How seeks a seasoned professional with significant experience developing, managing, and building operation departments and projects from the ground up; experience managing administrative projects, and knowledge of/experience working with national and remote teams within the U.S. Knowledge of Diversity, Equity and Inclusion best practices and emerging trends is a plus. Only candidates residing in the United States will be considered for this position.ESSENTIAL DUTIES AND RESPONSIBILITIES:Support the growth of our newly relaunched 501c3. Manage the day to day operations and administrative functions of a national, virtual organization.Assist in the overall design and implementation of operations systems using a Diversity, Equity and Inclusion lens including:oBenefits evaluation and re-evaluationoProtocols, criteria, and guidelines for performance managementoRevision and management of org-wide orientation programsoCareer Ladder, Mobility and Accessibility programsoContract and vendor process developmentoLiability and risk projects and annual insurance filingsoDigital safety and compliance support with applicable regulations and ethical obligationsCollaborate with If/When/Hows Technology teams on the development of Digital services for the organization which includes the virtual nature of remote needs and remote systems for IWH functions including backup systems.Help produce the Operations internal-facing materials, including policies, manuals, toolkits, cheat sheets, FAQs, reports, intranet and other visual documents and presentations for staff focused on operations. Conduct research as needed related to document production and launches.Work with various equity committees on overall streamlining of DEI practices.Provide internal DEI and Operations trainings and support to teams.Help develop and launch our internal org-wide training program based on staff needs and requests. Training categories include, HR Compliance, Risk & Safety, Capacity Building, Leadership, People Manager Series and DEI topics.Support the coordination of org-wide retreats and specialty team gatherings.Create staff support and capacity building opportunities around new operation procedures and be accessible for helpdesk functions related to administrative and HR needs of staffProvide administrative support and streamlining of org-wide data and track efficiencies.Work closely with Chief Operating Officer on Human Resources oversight and management, including internal policies and systems, around hiring and recruitment, onboarding, staff management, staff satisfaction and retention. Manage applicable committees.Liaison with ADP our PEO to meet staff needs.Manage all administration and personnel files and conduct file audits.Hire, train, and manage a small team of one and oversee their ongoing training and professional development.Partner with If/When/Hows non-program teams to align process and support efforts of program teams.Provide day to day administration over repetitive functions i.e. payroll, tax filings, W2/W4, annual renewals, subscription management.Provide day to day administration over non-program team back-end needs i.e. development administration and product sales.Assess and provide streamlining support for each programs operations needsManage staff inquiries and requests for operations support and track progress.Support financial tracking of department budget.Other DutiesParticipate in staff meetings, department meetings, trainings, and retreats.Prepare reports and make presentations to the Board of Directors as requested.EDUCATION AND EXPERIENCE:Required:A minimum of 10 years of overall professional experience with 5+ years of experience leading teams, change management, organization development and supporting progressive organizations with a DEI focus.A minimum of 7+ years of operations experience in one or more of the following areas: Administration, Human Resources, Risk Management/Liability.Experience managing, mentoring, and supporting the professional growth of team members.Preferred:Knowledge of reproductive health, rights, and justice.Experience launching new projects / organizational project management strongly preferred.REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:Commitment to social justice and racial justice/anti-racist principles.Ability to manage across multiple levels in an intersectional and complex environment.Strong systems management and development skills.Operations development/management skills with demonstrated success in leading projects innovating operations systems.Self-motivation and ability to work independently, prioritize tasks, and efficiently manage multiple projects at once.Collaborative team player with ability to give and receive constructive feedback.Excellent written and verbal communication.Flexibility and adaptability to change and growth.Ability to thrive in a virtual workplace and willingness to build relationships remotely.Strong proficiency with Microsoft Office, including Word, Excel, and PowerPoint.Facility with online database, project management, file sharing, and workplace communications platforms and apps.ORGANIZATIONAL RELATIONSHIPS: Reports to If/When/Hows Chief Operating Officer and supervises one Operations Associate. Works closely with the If/When/Hows Technology Director.WORK ENVIRONMENT: If/When/How maintains a virtual office and supports remote working and flexible work days.
