OPPORTUNITY:
Under the direct supervision of the Director of School Operations, this position will provide operational support to the school’s front office.

ESSENTIAL RESPONSIBILITIES:
Team Engagement:
Attend and prepare for School Operations Team meetings
Attend and prepare for regular 1 on 1s with manager Director of School Operations (DSO)
Participate in goal setting, mid-year review, and annual 360 performance evaluation process
Fill in for critical office assistant (OA) duties when absent; provide coverage plan when work is missed
Participate in Green Dot and individual professional development programs
Participate in other events aimed at promoting or developing Green Dot and its schools

Student Information and Reporting:
Manage Student Information System (SIS) and report daily attendance data and truancy information to school leadership team
File and maintain student records in accordance with federal, state, and authorizer compliance regulations, as well as school-based policies to ensure confidentiality
Ensure new students have submitted all required enrollment documentation; contacting parents for any missing documents
Oversee process for records requests; send transcript requests to previous schools for student records and respond to incoming records requests
Enter enrollment data, make updates to student contact information, and process student transfers/exits for withdrawals
Follow compliance requirements around student exits and transfers and ensure documents are signed
Coordinate with Special Populations Administrator when enrolling new students with IEPs, 504 Plans, or ELL students
Provide information to Knowledge Management for data audits and state reporting
Ensure confidentiality and security of files and all information pertaining to students, parents, and staff
Produce ad-hoc student data reports at the request of DSO and school leaders
Maintain accurate student data relevant to state reporting and grade storage
Assist DSO with master scheduling and ensuring students’ schedules are accurately entered and maintained

Front Office Operations:
Collaborate with OA and DSO on any suggestions to improve front office operations, efficiency, and service.
Collaborate with OA and DSO to ensure the front office is fully stocked and ready on a weekly basis.

Finance and Purchasing:
Assists OA as needed with financial and purchasing related functions
Know and follow all financial policies in regards to cash collection and receipts (uniform sales, meal balance, field trips, etc)

School Nutrition Program:
Assist Office Assistant with paperwork collection needed to identify student free and reduced lunch status and/or Direct Certification for federal funds
Assist with the collection of lunch balance payments and provide receipts
Assist with lunch, breakfast, and snack service as needed

Facilities:
Assist in troubleshooting facility related issues (i.e., work orders, custodial, etc.)
Manage facility vendor key check-out system to coordinate building access as needed
Manage front office facilities and communicate needs to DSO
Follow procedures for maintaining school assets (office supplies, uniforms, technology) and ensure books are properly stored and secured
Manage well-organized shared spaces (i.e.: teacher lounge, printer, staff mailboxes)
Assist in ensuring copy machine operation maintained
Contribute fire code compliance and avoid storing of items in exit pathways
Participate in facility walk-throughs as requested by DSO

Student Enrollment:
Enter enrollment data, update student info and process student data for exits
Request information from previous schools for student records and transcript requests

Student Health and Safety:
Assist in the collection of information such as emergency cards, immunization, etc.
Participate in school-wide drills as a Safety Team member and understand school emergency procedures
Enforce policies and procedures for visitors and collaborate with DSO to suggest any changes to optimize front office safety

Event Planning & Coordination:
Contribute to DSO’s process of outlining all school events in school calendar
Assist with event logistics such as: preparing materials, room set-up, and/or distributing and collecting field trip forms

State & Federal Compliance:
Understand and follow all student records compliance requirements
Follow FERPA laws and maintain secure student records
Ensure compliance requirements are completed on time
Provide data and participate in audits as needed

Additional duties as assigned:
Consistently demonstrate leadership skills and best practice sharing within OC’s across Green Dot schools
Develop long-term solutions to immediate problems and recurring tasks

QUALIFICATIONS:
A High School Diploma or equivalent
You have a minimum of 2 years in an administrative support capacity in an office environment is preferred. Prior experience within a school setting is desired
You are bilingual in Spanish (preferred)
You have excellent interpersonal and communication skills (written and oral)
You are proficient in MS Word, PowerPoint and Outlook, comfortable learning new computer programs
You are able to multi-task and perform well under pressure
You are able to maintain a positive, “can-do” attitude at all times
You have a high level of personal responsibility and drive toward ambitious goals
You have a strong commitment to customer service
You are able to complete tasks and projects effectively and on-time
You able to exercise discretion in the dissemination of information
You are dependable, humble, have a sense of humor and a rock-solid commitment to Green Dot’s mission and the communities we serve
You will need to pass a background check at time of offer

COMPENSATION:
The hourly rate for this position is $21.00 – $29.00/per hour, based on education and experience. We offer a comprehensive benefits plan including (but not limited to) medical, dental, vision, life insurance, retirement options and generous time off.
