OPPORTUNITY:
Under the direct supervision of the Director of School Operations, this position will provide administrative support to the school’s front office.

ESSENTIAL RESPONSIBILITIES:
Team Engagement:
Attend and prepare for School Operations Team meetings
Attend and prepare for regular 1 on 1s with manager (Director of School Operations)
Participate in goal setting, mid-year review, and annual 360 performance evaluation process
Participate in Green Dot and individual professional development programs
Participate in other events aimed at promoting or developing Green Dot and its schools

Front Office Operations:
Answer telephone to provide information, take and relay messages and transfer calls
Assist in making parent phone calls to communicate important information
Greet visitors to the school, determine nature of business and direct visitors to destination
Process incoming and outgoing mail and assist in assembling mailers such as report cards, newsletters and attendance letters
File and copy
Ensure copy machines, printers and scanners are functional and place orders for toner,; contact copier technician for copy breakdown issues
Assist in managing student traffic flow in the main office (i.e. discipline, medical, emergency situations, ensuring safety protocols are observed, etc.)
Manage inventory of main office supplies and place supply orders in advance when key front office supplies are running low.

Finance and Purchasing:
Manage tracking of the textbook inventory; checkout and check-in books for students
Assist in managing the uniform loaner room (i.e. inventory, sign-out/sign-in, etc.)
Know and follow all financial policies regarding cash collection and receipts (uniform sales, meal balances, field trips, etc).

Student Information and Reporting:
Maintain student files
Accurately enter attendance data such as tardy slips, excuse notes and attendance from substitute teachers.

School Nutrition Program:
Assist with tracking breakfast and/or lunch meals served

Facilities:
Assist in troubleshooting facility related issues (i.e., work orders, custodial, etc.)

Student Enrollment:
Assist with entering enrollment data, update student info and process student data for exits.
Assist with requesting information from previous schools for student records and transcript requests.

Student Health and Safety:
Assist in the collection of information such as emergency cards, immunization, etc.

Event Planning & Coordination:
Provide translation as needed (i.e., IEP, Administrator meetings, etc.)

State & Federal Compliance:
Ensure compliance requirements are completed on time

Additional duties as assigned.

QUALIFICATIONS:
A High School Diploma or equivalent
You have a minimum of 1 year in an administrative support capacity in an office environment is preferred. Prior experience within a school setting is desired
You are bilingual in Spanish
You have excellent interpersonal and communication skills (written and oral)
You are proficient in MS Word, PowerPoint and Outlook, comfortable learning new computer programs
You are able to multi-task and perform well under pressure
You are able to maintain a positive, “can-do” attitude at all times
You have a high level of personal responsibility and drive toward ambitious goals
You have a strong commitment to customer service
You are able to complete tasks and projects effectively and on-time
You able to exercise discretion in the dissemination of information
You are dependable, humble, have a sense of humor and a rock-solid commitment to Green Dot’s mission and the communities we serve
You will need to pass a background check at time of offer

COMPENSATION:
The starting hourly rate for this position is $17.00 – $20.00/per hour, based on education and experience. We offer a comprehensive benefits plan including (but not limited to) medical, dental, vision, life insurance, retirement options, and generous time off.
