About the SeniorAdministrative Assistant positionThe Gideons Promise Senior Administrative Assistant for Programs is an energetic, amicable, and highly organized individual working in the Programs Department.The Senior Administrative Assistant will provide primary administrative support for the Programs Director and departmental staff. In addition, they will interface with Gideons Promise constituents and the public and will serve as the first point of contact for overall/general program inquiries. They will require a high level of professional communication skills; both written and face-to-face.Three or more years as afull-time executive assistant and/or administrative and a commiserate educational background is required. The rate of pay is $20-$23 per hour.Senior Administrative Assistant Responsibilities:Provide administrative level support as required by Programs DirectorPrepare and distribute agendas for all Programs meetings and training eventsCreate, edit and distribute both internal and external correspondence on behalf of the Programs departmentCoordinate and book travel for programs staff, faculty, and special guests to include airfare, car rentals and hotel accommodationsRecruitment and assistance with volunteers for trainingsAssist with tracking/updating program data (i.e. update contact information, survey creation and collection, graduation certificates, etc.)Assist with the electronic organization/management of program documents and the public driveAssist with programs budget management and inventory managementManage the Program Directors calendar and schedule meetingsMaintain minutes during Programs department meetingsAssist with the planning and implementation of all programs events and cross departmental special projects requiring all staff participationAssist with conference and training scheduling and logisticsAssist with preparing copies and training materials for staff, faculty, and participantsOrder and maintain departmental supplies, materials, and equipmentSchedule departmental meetings and eventsAssistant with the application and interview processes for all programsCoordinate with Partner Offices and Partner Law Schools and other key constituentsMaintain and update all communications contact databasesCollaborate with the marketing department to ensure programs collateral materials and website pages are updatedPerform other duties as assigned]Senior Administrative Assistant Qualifications:Ability to meet tight deadlines, work well under pressure, and balance multiple simultaneous or concurrent responsibilitiesAdvanced written and spoken (English) communication and skills; excellent interpersonal skillsComputer proficiency in MS Office products: Word, Excel, Outlook, and Power PointDemonstrate high level of diplomacy, sound judgment, and discretion when dealing with participants, volunteers, and community professionalsHigh degree of energy, self-motivation, and flexibilityThree or more years of full-time executive assistant and/or administrative experience and 2 years of college courseworkTracking
