About the Opportunity The People, Culture + Wellness (PC+W) department has an immediate opening for an Advanced Administrative Assistant to support our Senior Vice President (SVP) and Chief Human Resources Officer (CHRO). The Advanced Administrative Assistant will support the SVP and CHRO as well as other department Officers in maintaining and monitoring calendars, files, emails, deadlines and appointments; making travel arrangements; coordinating meetings and completing assigned projects. In the role, the Advanced Administrative Assistant will also provide administrative support for PC+W departments including Human Resources, Payroll CBAF and Health Services in procuring supplies, processing invoices and other department support. Located in Richmond, VA, the Advanced Administrative Assistant reports to the Business Manager and Advisor to the CHRO. What You Will Do Provide executive level administrative support to Senior Vice President and Chief Human Resources Officer and management team in their role at a local and System level Collaborate with all levels of Bank, System and Board contacts in planning and preparation of meetings for the CHRO Serve as primary contact for management of inbox and calendar to prioritize and ensure timely completion of deliverables in coordination with the Business Advisor Work closely with CHRO’s Business Advisor to proactively prepare CHRO with materials for Bank, System and Board meetings Schedule and coordinate meetings, conference calls and events for management team utilizing Microsoft Teams, WebEx and in-person meetings Maintain department-wide calendars Make travel arrangements for officers and prepares vouchers in travel system Update department materials including email distribution groups, organization charts, Microsoft Teams, etc. Produces/updates documents in Word, Excel and PowerPoint Perform purchasing and payment activities for department, working within established guidelines to ensure compliance with Federal Reserve policies and timely payment of invoices Work on special assignments and plans special meetings or functions as needed Perform other duties as assigned Qualifications 9+ years of administrative assistant experience Bachelor’s Degree and/or equivalent experience Advanced computer skills including Microsoft Outlook, Word, Excel, and PowerPoint along with other various online applications Ability to handle sensitive information with confidentiality Critical attention to detail Advanced project management and analytical skills Strong customer service and interpersonal skills Excellent oral and written communication skills; strong grammatical skills for proofreading and editing written reports and other correspondence Outstanding organizational skills and time management skills with a strong ability to multitask and reprioritize Attentive response to internal or external requests for information Ability to work independently with limited supervision and direction Utilizes strategic thinking in the performance of duties Effective working as contributor and member of a team environment Possesses thorough knowledge of principles, practices, and procedures of assigned functional areas Discover the Reason Why So Many People Love It Here!
