Moniz, who served as the thirteenth United States Secretary of Energy (2) during the Obama Administration.About the Role Operations and Administration LeadThe Operations and Administration Lead is the organization’s primary team member focused on establishing effective business functions and operations, refining, and improving processes and procedures, keeping accurate records, maintaining compliance with business and personnel requirements, and ensuring overall operational effectiveness. The Operations and Administration Lead also oversees human resources and internal accounting matters.The Lead will serve as a critical thought partner and advisor to the whole team and will be centrally positioned to learn about and influence all aspects of an innovative think tank. We seek a professional who can oversee the design and implementation of the organizational tools, technologies, and systems to ensure an impeccable foundation and propel our capacity to achieve big things.This role partners with our external financial contractor and benefits broker to achieve finance, operations, admin, and HR/talent goals. Several backgrounds could serve you well in this role, including previous experience leading operations and overseeing its various associated functions (finance, HR, IT, etc.).This individual will report to principals Melanie Kenderdine, Joseph Hezir, and Secretary Moniz and work closely with the senior management team.Your responsibilities will include:Evaluate the efficiency of current business procedures according to organizational objectives and develop and apply improvements.Manage the external bookkeeper to complete critical day-to-day financial activities and monitor opportunities for improvement.Track and report on the organizations finances including billing, AR/AP, and expenses.Dive into the nitty-gritty of organizational management by overseeing research on best practices and making recommendations on new policies.Ensure that our HR policies and procedures stay up-to-date and are effectively communicated to the team and become our point person for HR compliance.Create systems and clear communication lines to ensure policies and procedures are communicated, and questions are addressed.Monitor and maintain relationships with IT vendors while seeking opportunities for IT improvements.Establish and maintain a process for staff expense and travel reimbursements; establish and uphold policy to remit timely and accurate reimbursements.Establish and maintain a process for staff time and leave tracking, requests, and reporting; enforce pre-travel authorization policies.Liaise with the benefits broker to administer employee benefits; regularly measure company offerings against the market; making recommendations and changes when applicable to help retain and attract high-quality staff; provide full and timely notifications to the team of benefit offerings.Regularly evaluate staff engagement, recruitment processes, office morale, work to ensure balanced and healthy office culture; establish a protocol for HR concerns to be aired and addressed.Skills & CompetenciesAbility to get things done:You are solutions-oriented, a problem-solver looking for the best solution to whatever challenge you’re confronted with.
