EXECUTIVE ASSISTANT TO THE RABBIPart Time (10-15 hours per week)Temporary: January-June, 2021Calling all natural-born organizers with great office skills! Congregation Adat Reyim, a Jewish synagogue in Springfield, VA, with 250 member families, seeks an executive assistant to support our new Rabbi through the end of her first year in the congregation.Our new Rabbi just started in July and has spent her first six months getting acquainted with our people, our systems and her role. We now seek an assistant to support her and get the administrative aspects of her work well organized and streamlined.We seek an individual with the following qualities:A warm, gracious personality and strong customer service skillsReliability, accountability and resourcefulness in the face of challengesExcellent verbal and written communication skillsPast success in managing confidential informationStrong time management and organizational skills, including attention to detail, deadlines and accuracyFamiliarity with Judaism and Jewish organizations, or the cultural competence to learnFacility in learning new technology when necessaryRequirements:High school diploma. Bachelors Degree or some college is preferredProfessional references who can speak to your success working in an administrative office role, preferably also remote work experienceProficiency in English, with excellent grammar, spelling, and usageProficiency in office technology: MS Office and Google applications, Facebook and other social media, online meeting platforms (e.g. Zoom, WebEx).Drivers license and access to a vehicle, if candidate is localJob Duties Will Include:Manage and update the Rabbis online calendarRespond to requests for the Rabbis time and assist with scheduling meetings and conveying information to congregants and community membersDevelop and manage the Rabbis weekly to-do list, based on the Rabbis schedule and synagogue calendar, email inbox, discussions at staff meetings, and other sourcesOrganize the Rabbis email inbox, including routing, forwarding, categorizing, and prioritizing responsesManage the production and mailing of thank you notes and donation acknowledgements from the RabbiHelp develop a system for providing pastoral alerts on the Rabbis To-Do list/calendarUnpack and organize the Rabbis office booksSupport the Rabbis on-line events from inception to execution by assisting with: scheduling, publicity, online event set-up, and potentially also managing the event online (admitting participants, assigning breakout rooms, muting, etc.)Prepare and publish Rabbis MessagesPurchase the Rabbis office supplies and equipment and document those purchases per synagogue policiesHelp trouble-shoot technology issues as neededOther organizational duties as requestedCome work with us:Position is open and ready for the right candidate.Work schedule is negotiable; some work during standard office hours is required.Submit your resume, statement of interest and two office-work referencesTracking
