The purpose of this position is to provide administrative support and office management for our regional office in Houston.
Organization and management of records
Preparation of research reports, proposals, manuals, plans, and budgets
Scheduling of appointments, meetings, etc.
Provides administrative support and office management for our Houston regional office.
Prepares and maintains job site safety performance reports and summaries.
Independently draft monthly, quarterly, and annual HSE performance reports for each job site and company.
Processes day-to-day administrative items.
Schedules appointments for luncheons, meetings, etc.
Coordinates arrangements for company meetings including obtaining meeting space, notifying attendees, scheduling catering, etc.
Handles travel arrangements for the department. Contacts travel agency, schedules flights, hotels, and car rentals. Provides itinerary for reference.
Serves as a contact/resource to provide information pertaining to various special events and employee-owner related functions such as division outings.
Assists in the preparation of special projects. Projects include PowerPoint presentations, departmental budgets, manuals, or classroom materials.
Understands current technologies for virtual meetings utilizing Microsoft Teams as the virtual platform. QUALIFICATIONS
Seeking at least five years of comparable executive administrative support experience.
The background should include word processing, document control, preparation of spreadsheets, graphs and charts, desktop publishing (PhotoShop), and presentation materials.
Expertise in the Microsoft Office Suites as well as Microsoft Teams, excellent spelling and grammar, strong phone skills, and organizational skills.
Professional, upbeat, energetic, takes initiative, dependable, and takes pride in their work.
Must be extremely efficient, organized, and resourceful.
