Arabella Advisors seeks a self-starter, resourceful, detail-oriented, and highly organized individual to serve as Special Assistant to the Legal Department. You will support the administrative and departmental management needs for the legal team which includes five attorneys. You will ensure that our department runs efficiently and play a lead role in providing legal and organizational support to the attorneys and the department at large. This is an excellent opportunity for someone interested in learning about legal compliance within the nonprofit sector.In addition, you will have an opportunity to build familiarity with local, national, and international philanthropic communities.Essential ResponsibilitiesAttorney and Legal Departmental support (50%)Support and organize the administrative needs of 5 attorneys including the general counsel of Arabella.Proactively monitor and calendar requests for meetings, appointments, and other scheduling needs.Manage and review all legal invoices, including from outside counsel, for accuracy and submit to ensure timely payments.Plan and schedule internal and external meetings, including department meetings and speaking engagements.Manage departmental standard documents and templates and provide review and updates as neededAssist in the development, tracking, and reporting of the departments budget.Create departmental reports for administration of the department and reporting out to executive teamManage and submit attorney expense reports, monitor and follow up on timesheets.Monitor and report on firm wide developments and news.Assist with special projects and assignments as required.Administrative Office Management (50%)Organize and maintain legal department electronic files and structure on SharePoint.Assist Managed Organization staff with project data collection, project surveys, and other administrative needs of the business.Field and screen questions and requests on behalf of the legal department.Foster and develop inter-departmental communications and relationships within Arabella.Stay up to date on relationships with relevant stakeholders such as outside counsel, foundations, funders, nonprofits, and other contacts of the department.Develop and/or support logistics for firm-wide all-staff meetings and cultural activities.Maintain confidentiality of all departmental information.Provide coverage for compliance case system administration.To Be Successful in This Role, Youll Need:Ability to self-start and be proactive in providing excellent support to the general counsel and the legal department.Ability to (or learn to) anticipate the needs of attorneys and planning time and materials appropriately.High degree of organization and attention to detail and ability to manage and make progress on multiple tasks simultaneously.Excellent communication and interpersonal skills and ability to draft high quality written materials and correspondence.Strong work ethic, positive attitude, entrepreneurial spirit, and a willingness to be flexible and do whatever it takes to get the job done.Sound judgment, maturity, and the ability to handle confidential information with discretion.Proficiency in Microsoft Office Suite, SharePoint, and data management software.Ability to work cooperatively and across teams.Exceptional client service and interpersonal skills.Bachelors degree or equivalent experience required.Ability to remain focused on work while also having fun and a good sense of humor.Our Core Competencies:Ability to provide excellent, including the ability to efficiently andindependently address routine service matters, tosuggesteffectiveclient-centered solutionswhenelevatingchallenges or concerns, and to understand how the team can operate to maintain high-quality serviceThe ability tocomplete complex tasks, touse a work plan toundertakeprojects, andtounderstandhow those projects impact the client, team, and/or firms objectivesThe ability to understand stakeholders perspectives and circumstances, and to build and manage strong relationships that reflect that understandingThe ability to communicateclearly, concisely,andprofessionally, including the ability to adapt style, tone, and content to various audiences; to make technical information accessible to broader audiences;and to collaborate with others to produce strong written deliverablesThe ability to work cooperatively and inclusively with others to achieve shared goals, including knowing when and how to compromise, being willing to proactively help colleagues, and sharing knowledge in various mediumsAn enthusiasm for taking on stretch and development opportunities, including the ability to accept feedback anduseit to improve performanceThe ability to take ownership and be creative and solutions-oriented when encountering challenges that dont have obvious answers, including knowing when to elevate challenges along with possible solutionsAbout Arabella AdvisorsArabella Advisors helps foundations, philanthropists and investors who are serious about impact achieve the greatest good with their resources.
