The America Needs You (ANY) Fellows Program is an intensive two-year program for high-achieving, low-income, first-generation college students. The program has four components: intensive career development, one-on-one mentorship, robust networks and holistic support.Position DescriptionThe Finance and Administration Manager will play a key role in ensuring the day-to-day effectiveness of our organization, serving as a critical financial and administrative support to the Chief Financial Officer (CFO) and Chief Operating Officer (COO). We are looking for someone with finance, operations and administration experience who is excited to grow their skills and work on projects big and small to further ANYs mission. Reporting to the CFO, the Finance and Administration Manager will join a tightly-knit operations team responsible for human resources, finance, technology, administration, and organizational planning, and will interact regularly with other departments and teams nationwide as part of our vibrant remote culture.ResponsibilitiesFinance and AccountingMaintain accounts payable, including creating new vendors and requesting W-9sManage bi-annual professional development grant distribution, which includes creating and distributingSalesforce reports, training staff on policies and procedures and troubleshootingSupport the CFO with:Ensuring that all expenses and revenue are coded, reconciled and uploaded on monthly basis for external bookkeepers; and associated receipts are collected and filedPreparation of monthly financial reports, budgets for funding proposals and annual budgetCommunicating and troubleshooting budget and finance-related questions with all site directorsCollecting and updating documents for our annual audit and tax filingsAdministration and General OperationsAct as the primary office manager, working with staff to fill office supply and inventory needs andmanaging office movesManage the virtual mailbox, main phone line and main office email accountsManage all external vendor accounts, including certificates of insurance and liability insuranceWork with General Counsel to update any organizational filings and documentationProvide administrative and operational assistance to the operations team in the areas of planning and implementation of various projects, creating project management and tracking tools, conducting research and presenting informationAssist the organization in Board meeting preparation and communicationsSupport CEO with Board management and tracking, including maintaining files with minutes, articles of incorporation, by-laws and committeesSupport CFO with management of all benefits, including payroll review, online time-tracking, 403(b) administration, all benefits provided by PEO, and preparation of all staff notifications related to benefits, salary, holidays, office closures, etc.Manage the hiring of new staff members including recruitment, hiring, onboarding, and orientation, as well as offboarding and other staff transitionsPrepare and update all job descriptions, post positions, check in with hiring managers, track onboarding and training (including initiating background check and online onboarding), update the org. chart, manage all staff evaluations, prepare offer letter packages and emailsPrepare all staff meeting presentations and relevant info/data by consulting with COO and others as needed; send agendas to all staff in advanceWork with COO to plan, administer and analyze all annual employee surveysCoordinate organization-wide meetings, operations team meetings, trainings, events, travel arrangements and overall organizational scheduling for the fiscal yearManage all internship programs/applications/postings and deadlines at ANY with collegesManage the Professional Development calendar and schedule of internal committeesCollaborate with external PEO to maintain awareness and knowledge of labor laws and assure organizational compliance, including updating the Employee Handbook, providing guidance to staff and managing organizational risksSupport the COO with program operations, as needed, with ad hoc projectsOtherAttend quarterly Saturday workshops to participate in workshop sessions and engage with Fellows, Mentor Coaches, volunteers and invited guestsAdditional responsibilities as determined by the CFO and organization as neededSkills and QualificationsBachelors Degree with at least three years experience supporting the finance and administration function is requiredStrong budgeting, data analysis and financial management skillsStrong task and project management skills, including the ability to integrate big picture goals with specific tasks needed to move complex projects forward effectivelyHighly organized with ability to keep track of multiple competing demandsImpeccable attention to detail and a comfort working with spreadsheetsStrong verbal and written communication skillsAbility to work across teams and departmentsMicrosoft Office proficiency (advanced proficiency with Excel and Word required) and comfort learning new online systemsHigh level of energy, commitment and positivityStrong solution-oriented mindsetDiscretion with the ability to maintain confidential employee and organizational informationFlexibility and comfort working in an environment where multitasking is the norm, the pace is fast, and priorities will evolveThe ability to work effectively from home, as this position is open for being completely virtualTracking
