Local company in Lancaster, Ohio seeking a Financial Administrative Manager:
Job Summary:
The Finance and Administration Manager will oversee the planning, development, implementation, and maintenance of the company s administrative and financial services, supporting and promoting profitable goals and objectives. This will include reviewing and authenticating financial records to ensure the organization complies with applicable financial laws and regulations. The Finance and Administration Manager will also direct the preparation of current financial reports and summaries, and create forecasts predicting future growth.
LMA – Supervisory Responsibilities: Oversee finance and home office team members.o Hire, train, and schedule.o Provides constructive and timely performance evaluations. o Handles discipline and termination in accordance with company policy.o Supervises and manages team member assignments and priorities. Works with other department heads to monitor finances and regulatory compliance in each department and make recommendations.AP/AR Maintains corporate checking accounts and invoices. Responsible for the various ledgers including cash disbursements, cash receipts, accounts payable, month-end payroll summary, accounts receivable summary, and journal entries to adjust the general ledger.Budgeting/Forecasting In collaboration with support team, Bookkeeper, and Accountant develops, implements, operates, maintains, and controls the essential financial operating systems and information for the company. Defines and implements key performance indicators and strategic objectives for departments and the organization; facilitates measurement of those objectives, reporting results to the support team. Drafts business plans for new products, services, and markets. Maintains knowledge of developments and trends in finance, administration, and regulatory compliance including technological advances. Studies long-range economic trends and projects their impact on future growth in sales and market share. Identifies opportunities for expansion into new product areas. Oversees investment of funds and works with investment bankers to raise additional capital required for expansion. Provides relevant financial information to support team. Compares sales and profit projections to actual figures and budgeted expenses to actual expenses; makes or oversees any necessary adjustments to future projections and budgets.Office management/Administration Drafts and implements policies and best practices to support achievement of financial, administrative, or regulatory compliance objectives and required standards. Reviews planning process and suggests improvements to current methods. Works with the Chief Operating Officer and other executives to coordinate planning and establish priorities for the planning process. Collaborates with management and user community to develop strategies for enhancement, improvement, or replacement of systems to improve productivity, efficiency, and quality of data. Oversees and facilitates the installation and maintenance of financial and administrative equipment, applications, and systems. Facilitates and oversees the support of the financial, compliance, and administrative systems, ensuring effective and helpful support is provided to end users. Maintains knowledge of trends and developments in financial and administrative systems, technology, best practices, and standards, alerting senior staff of the effects changes will have on the organization s systems and operations. Oversees and takes responsibility for all financial procedures and records. Ensures Home Office building, grounds, equipment, and supplies are maintained and serviced. Drafts business plans for new products, services, and markets.Payroll Ensures accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates. Prepares and maintains accurate records and reports of payroll transactions.Financial controls-reporting, audit for errors/fraud/theftCompliance Maintains full integrity of all revenues, ensuring organization policies and procedures, as well as state and federal laws and regulations, are followed. Resolves any issues related to banking institutions including investment portfolios, earnings, and specific accounts.Audit Ensures compliance with accounting procedures through observation, supervision, and audits/testing. Reviews cash reserves, collateral, and bank-owned securities and verifies internal control procedures. Evaluates audit reports from internal and external auditors to confirm adequacy of reports; identifies any issues with internal routines.Reporting Directs the preparation of all financial statements, including income statements, balance sheets, shareholder reports, tax returns, and governmental agency reports. Oversees capital assets projects, ensuring organizations goals are being met. Compiles fiscal estimates and prepares fiscal reports as requested. Assesses the organizations assets and liabilities by reviewing balance sheets, income and expense accounts, and loan documentation. Generates monthly reports including accounts payable reconciliation, accounts receivable reconciliation, cash flow report, and balance sheet audits. Resolves any issues related to banking institutions including investment portfolios, earnings, and specific accounts.Legal Ensures compliance with federal, state, local, and organizational laws, regulations, guidelines, and best practices, including but not limited to tax laws, generally accepted accounting principles (GAAP), federal acquisition regulations (FAR), cost accounting standards (CAS), and Health departments.? Retail Food Establishment License: Scan to files. Original laminated and displayed at each location.? Liquor License: Scan to files. Original laminated and displayed at each location.? Certificate of Bureau of Workers Compensation license: Scan to files. Original laminated and displayed at each location. Determines effect of new, proposed, or revised laws, regulations, and policies. Recommends updates and modifications to accounting systems and production activities to ensure compliance with new and revised regulations. Develops procedures and policies that comply with new and revised regulations. Serves as a liaison between regulatory bodies and operations. Prepares and submits applications and reports to applicable regulatory agencies. Responds to requests for information from regulatory bodies. Coordinates with operations departments regarding production design and development to ensure compliance with regulations. Assists with the development of standards for the company s operating and production procedures. Maintains current knowledge of regulations applicable to the company. Monitors regulatory affairs and the effect changes will have on company operations. Develops and maintains professional relationships in federal, state, and local regulatory agencies.Risk management: Insurance, Theft Conducts risk assessments, collecting and analyzing documentation, statistics, reports, and market trends. Establishes policies and procedures to identify and address risks in the organizations services and departments. Reviews and assesses risk management policies and protocols; makes recommendations and implements modifications and improvements. Recommends and implements risk management solutions such as insurance, safety and security policies, business continuity plans, or recovery measures. Reviews and analyzes metrics and data such as cash flow, inventory, breakage, and employee activity that could uncover fraudulent behavior. Drafts and presents risk reports and proposals to support team.Required Skills/Abilities: Thorough understanding of policies and best practices of risk management. At least six years of related experience, at least two of which were in a supervisory role, required. Physical Requirements: Prolonged periods of sitting at a desk and working on a computer. Must be able to lift 15 pounds at times.
